Privacy Policy

Your creator business data belongs to you.

KollabDesk helps creators organize brand partnerships, deliverables, deadlines, invoices, and payments. We only collect information needed to provide and improve the service, operate your account, process subscriptions, and keep the platform secure.

We do not sell your personal information or creator business data.

1. Information We Collect

When you create an account or use KollabDesk, we may collect the following categories of information.

Account Information

Information used to create and manage your KollabDesk account, including:

  • Name
  • Email address
  • Profile information
  • Creator/business name
  • Social media handles you choose to provide
  • Authentication and account identifiers

Passwords are handled through our authentication infrastructure and are not stored by KollabDesk as readable plain text.

Brand Deal & Campaign Information

Information you add while managing collaborations, including:

• Brand or agency name
• Brand contact information
• Campaign name
• Deal value
• Platforms
• Deliverables
• Campaign notes
• Deadlines
• Publishing dates
• Payment terms
• Deal status
• Invoice and payment status

You control the information you choose to enter into KollabDesk.

Invoice Information

If you use KollabDesk to create or manage invoices, you may provide information such as:

  • Billing name and address
  • Invoice number
  • Brand/client details
  • Payment terms
  • Tax information
  • Bank/payment details you choose to include
  • Invoice amounts and due dates
  • Payment status

KollabDesk uses this information to create, organize, and track invoices associated with your brand collaborations.

Communications & Follow-ups

When you use features that help generate payment reminders, campaign follow-ups, or other messages, we may process the deal information and text necessary to provide that feature.

KollabDesk does not independently send messages from your personal WhatsApp or email account unless you explicitly connect or authorize a supported integration.

Technical & Usage Information

We may automatically collect limited technical information when you use KollabDesk, including:

  • IP address
  • Browser and device information
  • Pages and features used
  • Login and session activity
  • Error and diagnostic information
  • Approximate location derived from technical information

This information helps us operate, secure, and improve the platform.

2. How We Use Your Information

We use information collected through KollabDesk to:

  • Create and maintain your account
  • Display and manage your brand-deal pipeline
  • Track campaign deliverables and deadlines
  • Create and organize invoices
  • Track pending, paid, and overdue payments
  • Generate reminder and follow-up content
  • Provide creator revenue and deal insights
  • Process subscription payments
  • Provide customer support
  • Improve product functionality and performance
  • Detect abuse, fraud, or unauthorized access
  • Maintain platform security
  • Meet applicable legal and regulatory requirements
We do not use your confidential brand-deal information to contact your clients or brands for our own marketing purposes.

3. Subscription Payments

Your payment information is handled by our payment provider.

Paid KollabDesk subscriptions are processed through our third-party payment provider. When you purchase a subscription, payment information such as your card, UPI, or other payment credentials is processed directly by the payment provider.

KollabDesk does not store complete card numbers, CVVs, UPI PINs, or online banking passwords on its servers.

We may receive limited transaction information such as:

  • Payment status
  • Transaction identifier
  • Subscription plan
  • Amount paid
  • Billing period
  • Renewal status

This information is used to manage your KollabDesk subscription. KollabDesk uses Razorpay to process eligible subscription payments.

4. Data Storage & Security

We use modern security practices to protect your information.

KollabDesk uses third-party cloud infrastructure and database services to operate the platform. We implement reasonable technical and organizational safeguards designed to protect information against unauthorized access, alteration, disclosure, or destruction.

These safeguards may include:

  • Secure authentication
  • Access controls
  • Database-level authorization rules
  • Encrypted network connections
  • Restricted administrative access
  • Application monitoring
  • Secure infrastructure providers

KollabDesk uses Supabase for services including authentication and database infrastructure.

No internet-based service can guarantee absolute security, but we continuously work to reduce risks and protect the information stored within KollabDesk.

5. Your Privacy Rights

You remain in control of your information.

Depending on your location and applicable law, you may have rights relating to your personal information:

Access: You may request information about personal data associated with your account.
Correction: You can update much of your account and creator-business information directly through KollabDesk.
Export: Where supported, you may request or download information associated with your account in a commonly usable format.
Deletion: You may request deletion of your account and associated personal information, subject to information we are required to retain for legitimate legal, security, accounting, or regulatory purposes.
Withdraw Consent: Where processing is based on consent, you may withdraw that consent where applicable.

6. Data Sharing & Service Providers

We don't sell your personal information.

KollabDesk may share limited information with trusted service providers that help us operate the platform. These providers may support functions such as:

Cloud infrastructure
Authentication
Database hosting
File storage
Subscription payments
Transactional email
Analytics
Error monitoring
Customer support

These providers receive only the information reasonably necessary to perform their services. We may also disclose information when reasonably necessary to comply with applicable law, respond to valid legal requests, protect KollabDesk, our users, or others, investigate fraud or security incidents, and enforce our Terms of Service.

We do not sell or rent your creator data, campaign information, brand contacts, or invoice information to advertisers.

7. Third-Party Services

KollabDesk may integrate with or link to third-party services. Your use of those services may be governed by their own privacy policies and terms.

Depending on the features you use, these services may include payment processors, email providers, cloud infrastructure providers, analytics services, or other integrations.

KollabDesk is not responsible for the independent privacy practices of third-party services you choose to use.

8. Data Retention

We retain personal information for only as long as reasonably necessary to:

  • Provide KollabDesk
  • Maintain your account
  • Fulfil the purposes described in this Privacy Policy
  • Maintain security and prevent abuse
  • Meet accounting or legal requirements
  • Resolve disputes

When information is no longer reasonably required, we may delete or anonymize it. Backup copies may remain temporarily within secure backup systems before being automatically removed according to applicable retention schedules.

9. Cookies & Similar Technologies

KollabDesk may use cookies, local storage, and similar technologies to:

  • Keep you signed in
  • Maintain secure sessions
  • Remember preferences
  • Understand product usage
  • Detect technical problems
  • Improve performance

Essential technologies required for authentication and security may operate automatically. Where legally required, optional analytics or marketing technologies will be handled according to applicable consent requirements.

10. Children's Privacy

KollabDesk is intended for users who are legally able to enter into agreements for creator or business-related services. We do not knowingly collect personal information from children in circumstances where parental or guardian consent is legally required.

If we learn that information has been collected contrary to applicable requirements, we may take appropriate steps to remove it.

11. International Data Processing

KollabDesk may use infrastructure or service providers that process information in countries other than the country where you live.

Where this occurs, we take reasonable steps to use reputable providers and handle information consistently with applicable privacy requirements.

12. Indian Data Protection

Privacy rights for users in India.

Where applicable, KollabDesk handles personal data in accordance with India's applicable data-protection requirements, including requirements arising under the Digital Personal Data Protection Act, 2023 and related rules as they become applicable.

13. Changes to This Privacy Policy

We may update this Privacy Policy as KollabDesk evolves, new features are introduced, or legal requirements change.

When material changes are made, we will update the Last Updated date shown at the top of this page and may provide additional notice where appropriate. Continued use of KollabDesk after an updated policy becomes effective will be subject to the updated Privacy Policy.
